Confirm the service before collecting data.

List the entities, services, reporting periods, statutory dates, expected deliverables and primary contacts covered by the engagement. Separate information required to begin work from information that can follow later. This gives the onboarding team a clear definition of complete instead of an open-ended document request.

Create one controlled client record.

Capture the legal and working names, contacts, financial year end, service dates and firm-specific fields that will drive the work. Agree which system is authoritative, who can edit each field and how changes are approved. Avoid leaving the master record split across email, private spreadsheets and personal notes.
